AI adoption becomes more practical when teams select a specific workflow, define permitted information and agree how results will be reviewed. Start with a controlled use case before expanding across the enterprise.

Select a repeatable task
Look for activities with clear inputs and outputs, such as request classification, knowledge suggestions or drafting routine communications. Document the current process, exceptions and effort involved. Separate deterministic workflow automation from tasks that genuinely benefit from generated or inferred content.
Set information boundaries
Identify the sources the system may use, the people permitted to access them and the information that should remain excluded. Review data minimisation, retention and transfer arrangements before integrating a business application. Public enquiries are unsuitable for confidential production records.
Keep decisions accountable
Define when a human must review an output and how users can escalate an incorrect response. Approval decisions and privileged actions need explicit boundaries. Record the limitations of the selected model and the context in which its outputs may be used.
Evaluate before expansion
Use representative samples to assess quality, exception handling and operational effort. Compare results with a documented baseline. Review errors and user feedback before deciding whether to expand the pilot, adjust it or retain the existing workflow.
Questions to take into discovery
- Which task and user group will the pilot cover?
- What evidence will demonstrate acceptable output quality?
- Who reviews exceptions and authorises changes?
