Guides / Project preparation

Prepare the requirement before choosing the solution.

Use these planning notes to organize stakeholder input and define a practical starting point for an enterprise technology engagement.

Guide 01

Prepare for a project discovery conversation.

Start with the operational issue. Describe which users or services are affected, what happens today and what you want to improve. A concrete example is more useful than a broad request for digital transformation.

Map the current environment

Gather available inventories, diagrams and support information. Identify sites, applications, networks and third-party services that the requirement depends on. Note missing information as an assessment task rather than treating it as an established fact.

Identify owners and constraints

Name the business decision owner, IT contacts and any vendor participants. Record change windows, access prerequisites, budget boundaries and dependencies. Avoid sharing passwords or confidential production records in an initial enquiry.

Describe how completion will be assessed

Prepare a small set of real use cases and the expected behavior. These can form the basis for agreed acceptance criteria and help distinguish required functionality from later enhancements.

Guide 02

Plan a controlled technology change.

Define what will change, which services depend on it and who approves the work. Record the environment assumptions and the conditions that must be met before implementation begins.

Agree validation and rollback

Select test scenarios that reflect the business use of the system. Define who reviews the evidence and how outstanding issues are handled. Establish rollback responsibilities and decision points where relevant; a rollback plan needs to match the specific environment.

Coordinate the operating window

Review user impact, vendor availability and maintenance windows with accountable owners. Use a pilot or staged transition when appropriate to the agreed risk and delivery scope.

Document the result

Record the implemented configuration, validation findings, deviations and remaining actions. Acceptance should refer to agreed criteria rather than an assumption that installation alone completes the engagement.

Guide 03

Prepare an operational handover.

A handover should explain what has been implemented and who operates it. Gather the scoped architecture and configuration records, support contacts, routine tasks and known issues.

Confirm service ownership

Document internal owners and vendor escalation routes. Clarify access responsibilities and recurring monitoring or maintenance activities. Support coverage and service-level commitments should be agreed separately.

Close or assign outstanding actions

Review test evidence and unresolved dependencies. Give each open action an owner and an agreed next step. Identify user guidance or knowledge-transfer needs before the operational transition.

These notes are planning aids. Applicable contractual, data-handling and regulatory responsibilities should be assessed with the designated owners for your engagement.
